Coal Creative is searching for a Finance & Office Specialist! This dual role, which can be remote or at our Wilkes-Barre office, will focus on day-to-day accounting and office administration. Check out the job description below.
Overview / Explanation of Position
The Office & Finance Specialist is a dual role that is pivotal to the overall success and continued growth of the company. The person who fills this role has strong experience in bookkeeping and a knack for strategic planning. Their responsibilities include day-to-day accounting and office administration as well as helping to guide operational decisions based on sustainability and profitability.
Requirements of Position
- Finance (70% of role)
- Maintain receipts for accounting purposes
- Produce financial reports related to budgets, accounts payable, accounts receivable, and expenses
- Lead planning and forecasting activities with the CEO to achieve business and company goals
- Analyze revenue, expenses, cash flows, and balance sheets
- Assist operations team to make financial decisions
- Investigate means to improve profitability alongside operations team
- Review and process payments
- Submit and process bi-weekly payroll and reimbursements
- Maintain accurate filing and record keeping system for all financial statements and company documents
- Office (30% of role)
- Maintain Coal Creative team email account and distribute emails to the appropriate team members
- Answer all main line phone calls and take detailed messages and/or forward calls to the appropriate team member
- Track main line voicemails and text messages and distribute messages to the appropriate team member(s)
- Schedule meetings as needed / requested
- Keep track of office inventory and ordering of all office supplies
- Perform various administrative and clerical duties to support the organization’s daily operations
Skill Set
- Knowledge of software programs including:
- Harvest (not required, will be trained)
- Quickbooks (strongly recommended)
- Attention to detail
- Strong quantitative skills
- Adaptive, organized, responsible, and thorough
- Adept at analyzing information
Education & Background Requirements
- BA or BS in economics, finance, accounting, economics, or related field preferred
- 1-3 years experience in related field

Collaborate With
- Operations Team, including CEO, Creative Director, Operations and Business Development Manager, Director of Strategic Communications, and Project Manager
Communication & Expectations
- Maintain a Coal Creative email for any client outreach needed and replying to all outreach within 24 hours
- Consistent internal communication with the Coal Creative team via Slack
- Attend all necessary meetings, internally and externally
- While we do not require a start and end time at Coal Creative, it is preferred that the individual in this position is able to make themselves available between the hours of 10:00AM – 4:00PM Monday through Friday if needed.
Compensation & Benefits
- This position will start at a $18 – $20 hourly rate, with a 90 day review and assessment period

- Bi-annual bonuses, after 90 day review and assessment period
